    What is group scheduling?

    A group event lets several invitees book the same time slot — one session, many attendees. Unlike a one-on-one, where booking a slot removes it, a group slot stays open until it fills: you set the seat cap, each invitee books individually and gets their own confirmation, and they all join the one meeting. It's how webinars, training sessions, and office hours run without a separate registration product.

    Combine it with round robin

    A plain group event has a single host — you. Attach it to a team instead and it becomes a Group + Round Robin: the same group session, but hosting rotates across the team so duties are shared. The booking page shows the union of every active member's availability — a slot appears if any member is free for it, just like a round robin.

    The host is assigned per slot, at booking time, and then locked. When the first invitee books a given slot, 42min picks the available team member with the fewest recent meetings — the same fair distribution a round robin uses — and every later invitee who books that same slot meets that same host. Different slots can go to different hosts, so a weekly webinar rotates through the team automatically.

    Seats work exactly like a plain group event: the slot stays open until Max invitees fill it, then it closes. Full details are in the group event types help guide.

    Set up a group event in 4 steps

    Add a Group event type

    New Event Type → set Type to Group. Want rotating hosts? Pick Group + Round Robin instead and choose a team — create the team in Admin Center → Teams first.

    Set the seats

    Choose Max invitees per slot (it defaults to 10), and tick “Show remaining spots to invitees” if you want the seat count visible on the booking page.

    Pick the meeting type & schedule

    Name, description, duration, and availability work just like any other event type. Choose Zoom as the meeting type and each session becomes a Zoom Webinar.

    Save and share the booking link. Invitees sign up individually until the session fills; everyone lands in the same meeting.
