How to schedule a Zoom meeting

    Zoom is the one video provider 42min connects to directly — which is why it's the only one that can host on a shared company account, promote whoever takes the booking to host, and turn a group session into a Zoom Webinar on its own.

    A connection of its own

    Google Meet and Microsoft Teams ride along on a calendar connection — 42min asks the calendar for a conference and takes whatever comes back. Zoom is different: you authorize it as its own integration, and 42min then creates each meeting through Zoom's API itself.

    That direct line is what unlocks the rest of this page. It's why Zoom has an organization-wide rollout switch, why a company can point every booking at one shared Zoom account, why 42min can decide the meeting's protections, and why a group session can become a real webinar rather than a crowded call.

    The trade is one extra step at setup — an admin has to switch Zoom on for the organization before anything is created, no matter how many accounts are connected.

    How each Zoom meeting is set up

    Because 42min creates the meeting, it also decides how it's protected. Every booking comes out the same way — you don't configure this per event type, and it doesn't drift between hosts.

    The recording line is the one people ask about most: 42min never starts a recording. Nothing is captured unless someone in the call presses record, and where that file lands is between your Zoom plan and your own retention policy.

    THE ONE THING ONLY ZOOM DOES

    Group events become Zoom webinars

    Point a group event type at Zoom and 42min doesn't create a big meeting — it creates a Zoom Webinar. Attendees arrive muted and without cameras, so a hundred-person session doesn't open with a hundred hot microphones. There's no separate "webinar" event type to build: the group event type is the webinar once Zoom is its meeting type.

    Two things have to line up for that upgrade:

    • An admin has enabled webinars on group bookings, on the Rollout card of the Zoom page under Integrations.
    • The connected Zoom account carries a webinar licence — webinars are a paid Zoom add-on, separate from a normal paid plan.

    If either is missing, bookings don't break. 42min falls back to creating an ordinary Zoom meeting that the group shares, so the session still happens and everyone still gets a link. It's a quiet downgrade rather than an error — worth knowing, because a webinar you were counting on can turn into a plain meeting purely because a licence lapsed.

    Attendees are registered rather than merely invited, so each person gets their own personalized join link instead of one shared URL. The webinar itself belongs to the session — one webinar per event type and start time, shared by everyone who books that slot. Move a booking to a different time and 42min moves that person's registration with it; cancel one seat and only that registration is withdrawn, leaving the webinar standing for everyone else.

    WHEN NOT EVERYONE HAS ZOOM

    One company Zoom, many hosts

    Paid Zoom seats rarely cover everyone who takes meetings. Because 42min holds the Zoom connection directly, an admin can add a shared org account and switch on multi-account routing, so anyone without their own Zoom still produces a working link — their bookings are hosted on the company account instead.

    The obvious worry is who actually controls that call. 42min handles it: when a booking lands on the shared account and the assigned host is a user on it, they're added as an alternative host — so they can start the meeting, admit people from the waiting room, and run it as their own. If they aren't a user on that account, the meeting is still created and the link still works; they simply join as a participant rather than controlling the room.

    This is the piece neither Google Meet nor Microsoft Teams can do through 42min. Both create the conference through the individual host's own calendar account, so a host without one produces a booking with no link and there's nothing to fall back to.

    Connect Zoom in 3 steps

    Assuming an admin has already switched Zoom on for the organization.

    Authorize Zoom once

    Open Integrations, find the Video Conferencing section, and click Connect Zoom. Sign in to Zoom and grant 42min access. You'll come back to a “Zoom connected successfully!” message and the account listed with a Connected badge.

    Point an event type at Zoom

    Open the event type from Event Types and, on the General tab, set the Location dropdown to Zoom. Save. New bookings on that event type get a Zoom link; bookings made earlier are unaffected.

    Share the booking link

    That's it. Every new booking creates its own Zoom meeting, and the join link lands on the confirmation email, the calendar invite, and the booking details.

    FOR A TEAM

    One link, whoever's turn it is

    A Round Robin event type gives a team one booking page: invitees see everyone's combined availability, and each booking goes to the available host with the fewest recent meetings. Create the team under Admin Center → Teams, set the event type's Type to Round Robin, pick the team, and set the location to Zoom.

    Round-robin bookings are ordinary Zoom meetings, not webinars — the webinar upgrade applies only to group event types. And unlike Meet or Teams, a teammate without their own Zoom isn't a problem here: with a shared org account connected, their turn in the rotation still produces a working link.

    BEFORE THEY BOOK

    Sort people into the right Zoom call

    One team link works when every host is interchangeable. When they aren't, a routing form asks a few questions first — company size, topic, region — and sends each visitor to the booking page that fits, using if-then rules with AND/OR logic.

    With Zoom this pairs neatly with the group/webinar split: route high-volume, one-to-many requests to a group event type and they arrive at a webinar; route sales conversations to a round-robin page and they get a private meeting.     Visitors answer a short form, if-then rules run, and each person lands on the right booking page — which decides whether they get a meeting or a webinar.

    SEATS AND CAPS

    Sizing the session

    A group event type lets many invitees book the same slot. Unlike a one-on-one, where booking removes the slot, a group slot stays open until it fills — set Max invitees per slot anywhere from 2 to 9,999 (it defaults to 10) and it closes itself when full.

    Pick Group when you always host yourself, or Group + Round Robin to rotate hosting across a team — which, combined with the webinar upgrade, gives you a repeating webinar series whose presenting duty moves around the team. The host is fixed once the first person books that slot, so everyone in a given session meets the same host. Details in group event types and group scheduling.

    One session link and a seat counter — many invitees book the same slot, and on Zoom that session becomes a webinar.

    When the Zoom link doesn't arrive

    Three conditions, all required. An admin enabled Zoom for the organization, the event type's location is Zoom, and there's a connected Zoom account — the host's own or a shared org one. Miss any one and no meeting is created.

    A webinar came out as a meeting. That's the deliberate fallback: either webinars aren't enabled for the organization, or the connected account's webinar licence isn't active. Check both — the booking won't tell you, because by design it kept working.

    "Connection broken". If 42min was revoked inside Zoom or the authorization expired, the account shows this and the host is emailed to reconnect. Use Reconnect on the Zoom page; bookings made before it broke keep the links they already have.

    Disconnecting doesn't rewrite past bookings. Removing an account stops new meetings being created on it; meetings already booked keep their join links. To stop an event type using Zoom going forward, change its location.

    Admins have one more tool: a View sync log button showing every Zoom action 42min has taken — the fastest way to see why a link never got created.
