    Additional attendees

    Sometimes an address beyond you and the invitee belongs on every meeting of a certain kind — a shared sales@ mailbox, a manager who wants visibility, a note-taking service. Additional attendees lets you list those addresses once on the event type; every booking's calendar event then invites them automatically.

    What it is

    • Each event type can list up to 10 email addresses.
    • When a booking is made, the calendar event 42min creates in your Google or Microsoft calendar includes those addresses as invited guests. Their calendars show the meeting, and the time counts as busy for them unless they decline.
    • The invitation comes from your calendar provider, exactly like the invitee's — reschedules update it and cancellations remove it, with no extra setup.
    • Addresses are never duplicated: if an additional attendee is already the host, the invitee, or a guest the invitee added, they appear on the event once.
    • On group event types, the additional attendees are added once to the shared calendar event, alongside everyone who booked the slot.

    When to use it

    • A shared team calendar. Add the shared mailbox (e.g. sales@yourcompany.com) so every demo also lands on the team's calendar as an invited copy — and shows the slot as busy there.
    • A manager or coordinator who should see every interview or onboarding call without being the host.
    • A note-taking or recording service that joins meetings via a calendar invite.

    How to do it

    1. Open Event Types and edit the event type.
    2. On the General tab, find Additional attendees, below the Meeting Type setting.
    3. Type an address and press Enter (or comma). Each address becomes a removable pill; click × to remove one. Up to 10 addresses.
    4. Save. New bookings from then on include the attendees on their calendar events; meetings booked earlier pick them up only if they're rescheduled.
    The editor's General tab. 'Additional attendees' sits below 'Meeting Type' — type an address and press Enter to add it; the helper text underneath spells out the busy-unless-declined behavior.

    Common pitfalls

    • No connected calendar, no invitations. The invitations ride on the calendar event, so if you haven't connected a calendar, no calendar event is created and nobody is invited — the editor shows a warning when this is the case.
    • Google and Microsoft calendars only. Events written to a CalDAV calendar (Apple iCloud, Zoho, Yahoo, Fastmail, Yandex, self-hosted) carry no invitations, so additional attendees have no effect there.
    • Declining stops the busy block. If an attendee (or a shared mailbox) declines the invite, their calendar stops counting the time as busy.
    • 42min's own emails are unchanged. Additional attendees receive the provider's calendar invitation only — not 42min's booking confirmations, reminders, or workflow emails.
    • Template-based event types. On an event type distributed from a template, additional attendees are set on the template by the admin; recipients see the list on their copy but can't edit it.
